Terms of Service

Theo Snoey · Meadow · California, United States

1. Who operates Meadow

Meadow is operated by Theo Snoey, a sole proprietor based in California, United States. In these terms, Meadow, we, us and our refer to Theo Snoey operating Meadow. These terms govern our hosted service. They do not replace the licenses governing third-party or open-source software.

Meadow is intended for business use by adults authorized to act for their business. By accepting these terms or purchasing a subscription, you agree on behalf of yourself or the business you are authorized to represent. Keep your account information accurate and protect your login credentials.

2. The service and its limits

Meadow provides a cloud-hosted AI receptionist that can answer inbound calls using business information, take messages, record and transcribe calls, create follow-ups, and transfer callers to staff. Appointment and integration features depend on configuration, availability and enabled permissions. Only use a feature after completing its required setup.

AI can misunderstand, omit information or produce incorrect responses. Review your business information and important records, keep contact and transfer details current, and provide appropriate human oversight. A requested appointment is not confirmed until Meadow explicitly confirms it through the supported booking process.

Meadow is not an emergency service or a substitute for medical, legal, financial or other professional advice. Do not rely on it for emergency dispatch or decisions where an error could cause serious harm. Telephone, AI, internet and integration providers can fail or be unavailable; uninterrupted or error-free service is not guaranteed.

3. Calls, recording and acceptable use

You are responsible for having the rights, notices and consents required to provide caller information, connect calendars, route calls and use recordings or transcripts. Configure appropriate AI and recording disclosures and honor callers' choices and applicable law. Do not disable required disclosures or ask Meadow to impersonate a person.

Do not use Meadow for unlawful activity, unsolicited marketing calls or messages, harassment, fraud, deceptive practices, infringement, unauthorized access, or collection of unnecessary sensitive information. Messaging or outbound features, when available, require their own permissions and applicable carrier and consent requirements.

Business numbers and call transport depend on carrier availability and applicable rules. Included-number descriptions do not guarantee a particular number, permanent ownership, portability, emergency-calling capability or availability in every location. Number activation is separate from subscription payment and requires the supported activation process.

4. Prices, recurring billing and usage

The plan, currency, billing interval, included usage and applicable taxes are shown before purchase. Monthly plans renew monthly. Annual plans are charged upfront and renew annually; included voice allowances still reset monthly. Excess AI-handled minutes are billed monthly at the rate disclosed for your plan, including applicable fractional usage. Other charges apply only as disclosed before you authorize them.

By completing checkout, you authorize recurring charges until you cancel. New Meadow checkouts use Stripe Managed Payments, sold through Link. Stripe/Link processes payment information and handles covered transaction taxes and payment-related support under its applicable terms. Meadow retains responsibility for the product and product support. The payment terms presented in checkout also apply.

Prices exclude applicable tax unless checkout states otherwise. We will provide advance notice of price or material billing changes as required by applicable law; a displayed price change does not itself authorize a retroactive charge. Keep your payment method current. Failed or overdue payments may lead to restricted or suspended service under the plan's payment rules.

5. Cancellation and refund requests

You can cancel a subscription through Settings → Plan → Manage subscription, through the applicable Link order controls, or by contacting us if you cannot access those controls. Normal cancellation stops renewal at the end of the already-paid billing period. Charges for usage already incurred can remain payable.

Cancellation does not automatically issue a refund. Send refund requests to theo@trymeadow.ai; requests are reviewed individually, subject to applicable law, the circumstances of the purchase, and Stripe/Link's merchant-of-record refund rules. These terms do not limit a refund or other remedy required by law or the applicable payment terms.

Download information you need before ending service. Phone-number retention and release follow the service's disclosed retention and activation rules; canceling a plan does not guarantee that a number will remain available indefinitely.

6. Your information and integrations

You retain your rights in the business information, documents and other content you provide. You authorize Meadow and its service providers to process that information as needed to provide, secure and support the service and carry out your instructions. You are responsible for the accuracy and lawfulness of your content and for access granted to your staff.

Connected services have their own terms and privacy practices. Connecting an account authorizes the supported access described in the consent screen; disconnect services you no longer want Meadow to access. Our Privacy Policy explains how personal information is handled.

7. Service changes and ending access

We may update features, address security issues or suspend access for misuse, nonpayment, legal requirements or risks to the service or others. Where reasonably practicable and lawful, we will notify you of material changes or termination. This does not remove mandatory rights or remedies.

We may update these terms and will identify the revised date. We will provide notice of material changes and obtain renewed agreement where required by law. No provision excludes liability or rights that cannot lawfully be excluded. California law governs these terms, subject to mandatory laws that apply to you.

8. Contact

For product support, billing questions, cancellation assistance or questions about these terms, contact Theo Snoey, operating Meadow, at theo@trymeadow.ai. Payment-related requests can also be made through Link's Sold through Link support.
